Youth Recreation Program Coordinator

The Youth Recreation Program Coordinator will be responsible for the successful operation and coordination of Prairie Athletic Club’s youth recreational programs, including but not limited to youth sports instructionals, homeschool and youth events.  This individual will be accountable for ensuring that all safety and customer service standards are maintained and exceed member expectations.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  Other duties may be assigned.

Youth Recreation Program Coordinator

  • Plan, implement and supervise all youth recreation activities including but not limited to youth sports, homeschool and youth events.
  • Serve as a lead customer service contact for members and program participants; oversee program registration and ensure an efficient and timely check-in/check-out process; welcome all families and participants.
  • Respond to voicemails and emails on a daily basis.  Monitor class participation and decide when additional or fewer classes are needed based on participation levels.
  • Ensure the correct facility spaces are reserved at the appropriate times for classes/events to occur.  Update schedules on the website as necessary.
  • Train, supervise and motivate youth recreation program staff.  Provide leadership, guidance and feedback; be a positive role model.  Assist HR with the hiring of new staff.
  • Maintain and review records and evaluations of all programs & staff.  Make recommendations for upcoming season or future programs.
  • Ensure safety and supervision of children.  Ensure program areas are safe and that equipment is maintained in proper working order. Document and follow up on all unusual incidents and injuries.
  • Enforce department and club-wide policies and procedures.
  • Oversee schedules for all youth recreation programs, cover shifts if necessary. Be present at all launch nights to welcome children and family.
  • Obtain necessary supplies and equipment for programs while respecting the budget.  Arrange for proper storage and usage.
  • Communicate with upper management; share observations, suggestions and ideas for improvement.  Attend meetings as scheduled.
  • Provide program orientations for staff and interested families.
  • Complete all administrative tasks including but not limited to: department training, payroll, off-boarding, etc.
  • Manage department P & L.  Monitor expenses and revenue. Work with accounting department to ensure accurate invoicing; make adjustments for late payments/credits as necessary.
  • Ensure timely and accurate completion of all required forms and liability waivers.
  • Assist in the planning and implementation of special events.
  • Develop and implement new programs and age appropriate activities.  Be aware of other community offerings and stay current in the industry to ensure bringing fresh programs to the PAC.  Work with Sales & Marketing managers to ensure programs and schedules meet the needs of the children and their families. Consider growing youth league offerings at PAC.
  • Uphold Club’s commitment to service and quality programming.  Help to ensure member satisfaction by resolving issues quickly, efficiently and courteously.
  • Prepare rosters for instructors and member services staff; update the google sheet for non-members; ensure accuracy of classes on Outlook calendar and on printed schedules.
  • Work with the Marketing Director to promote and market youth recreation classes within the club and the community.  Create newsletter articles and social media posts as needed.
  • Support company goals and objectives.  Enforce department and club-wide policies and procedures.

A Bachelor’s degree in an applicable field is preferred.  The Youth Recreation Program Coordinator must have previous customer service and a minimum of 2 years of experience working with programming.  Previous experience in a similar position and a basic understanding of Club operations is preferred.  Red Cross CPR, AED and first aid certifications are required.

Status: Part to Full-Time Hourly Manager
Benefits: Depends on Employment Status
Compensation: $20-$24/hr depending upon experience
